Transfer a Client’s Payment Between Firms
If you are taking over a client's Hubdoc account from another accounting/bookkeeping firm and will be paying for the client's account, you will need to transfer the payment by following the steps below. These steps also apply if multiple people at your firm pay for client accounts, and you would like to consolidate all client subscriptions and billing to a single firm administrator's account.
These steps must be completed in this order to successfully transfer payment.
Step 1: Previous Firm or Payor Removes Client From Their Billing
The previous firm or payor will need to downgrade the client account from their "Billing Information" page. Doing this will remove the account from the firm/payor's billing, and revoke the firm/payor's access to that Hubdoc account. All documents in Hubdoc will still be available to the client when they log in.
1. Log in to Hubdoc and select your firm's name from the 'Organizations' page.
2. Click the gear icon on the top right of the navigation bar, then select the 'Billing Information' tab and select the client from a list of accounts.
3. Click 'Downgrade' next to the client's name.
Step 2: New Firm or Payor Adds the Client to Their Billing
1. Log in to Hubdoc and select your firm's name from the 'Organizations' page.
2. Select the gear icon in the top right of the navigation bar.
3. Navigate to the "Billing Information" tab.
4. Scroll to the bottom of the page, enter the email associated with the client’s existing Hubdoc account in the field provided and click 'Add a Client Account'.
5. The client will receive a verification email prompting them to grant you access to their Hubdoc account. Once the client accepts this request, the new firm will be responsible for payments and will also have access as a collaborator.
