Enable or disable data extraction

Overview

  • Turn data extraction off and on to suit your workflow.
  • For organisations in the UK, AU and NZ, turn auto-extract tax on to calculate the tax amount automatically.

Turn data extraction on or off

By default, Hubdoc’s data extraction process automates the data entry process, but you can disable it so all documents have to be manually entered. This might suit your workflow if you‘ve met the daily upload limit, or bank reconciliations are due the same day as documents enter Hubdoc.

To turn data extraction on or off:

  1. In the organisation dashboard, click the settings icon in the top right hand corner.
  2. Select the Organization tab.
  3. Under Data Extraction, select or clear the Extract data from uploaded documents checkbox.
  4. Click Save changes.

When data extraction is turned off, all new documents show in the Archived tab, with a green check mark.

If you disable data extraction then turn it back on, any documents that were imported when it was disabled won’t go through our data extraction process. The documents show on the Review tab, and you need to manually enter the data before you can publish them or they show in search results.

Enable automatic tax extraction

Hubdoc supports automatic tax extraction for organisations in the UK, AU and NZ. 

If your organisation is connected to your cloud accounting platform and you’ve enabled tax data to be published, turn auto-extract tax on so Hubdoc extracts the VAT or GST data in addition to the supplier name, date, and total amount from a document. If Hubdoc can’t automatically extract VAT or GST from a document, we use the default tax rate set up for the supplier.

To turn on auto-extract tax:

  1. In the organisation dashboard, click the settings icon in the top right hand corner.
  2. Select the Organization tab.
  3. Under Data Extraction, select the Auto-extract tax amount from uploaded documents checkbox. This checkbox is only available if your Hubdoc organisation is connected to a cloud accounting platform and you've enabled tax data to be published.
    If you've connected your Hubdoc account to Xero, the checkbox displays under the heading Data Extraction.
  4. Click Save changes.
