What Do The Tabs Represent?

Documents uploaded into Hubdoc will flow through the different tabs in the Document Stream. These tabs indicate what stage of the document management process they are in.

Newly uploaded documents will instantly appear under the 'All' tab.

As soon as Hubdoc extracts the key data (supplier, date, amount) from a manually-uploaded document, Hubdoc will automatically move that document into a folder associated with the supplier name in the left hand column.

Hubdoc will create this folder when it first extracts a document with this supplier's name. A folder will not be created until Hubdoc extracts a document. 

This folder will be visible beneath the 'Uploads' folder. 

The 'All' Tab

All of your documents will flow into Hubdoc through the 'All' tab. 

Hubdoc will feature all of your documents under the 'All' tab, regardless of whether you have manually uploaded these documents onto Hubdoc or if Hubdoc has fetched these documents from a direct connection.

The documents are sorted according to the time that they entered Hubdoc. The newest documents to arrive in Hubdoc will appear at the top of the 'All' tab. 

These documents will feature different icons depending on their status.

  • Blue clock - Processing
  • Yellow triangle / orange triangle alert - Review
  • Red prohibition circle - do not enter symbol - Failed
  • Green check mark - Archived

The 'Processing' Tab

Documents that are in the process of being extracted will appear under the 'Processing' status tab. 

These documents will feature a blue clock. As soon as a document is extracted, it will no longer be visible in this tab.

 Hubdoc will pull the key data from each of these documents.

  • Supplier
  • Date
  • Amount

If you choose to integrate Hubdoc with another cloud platform, Hubdoc will be able to push this data to create entries in these platforms.

The 'Review' Tab

Documents that need to be reviewed will appear under the 'Review' status tab. 

These documents will feature a yellow triangle alert in the corner of each entry in the 'Docs' column. This yellow triangle alert indicates that you need to review these documents. 

These documents require you to approve or add information before Hubdoc can send these documents through to one of your other cloud platforms, such as Bill.com, Box QuickBooks Online, or Xero.

Follow these steps to make the necessary adjustments to these documents' settings:

  1. Click on the document that you want to examine in the 'Docs' column.
  2. Click on the 'Edit Data' bar on the right hand side of the screen. If you hover over this bar, the bar will turn green. A new screen will swing out.
  3. Make changes to the extracted data.
  4. Click 'Publish'.

These documents will no longer appear under the 'Review' tab. They should now appear under the 'Archived' tab.

The 'Failed' Tab

Documents that Hubdoc has failed to push to one or more of your cloud platforms will appear under the 'Failed' status tab. Documents will also appear in the "Failed" tab if they failed to have their data extracted properly. This could be if the Supplier, Date or Total amount are blurry or missing.  

These documents will feature a red prohibition sign. Please make changes to the settings of these documents so that Hubdoc can retry to push these documents to the correct cloud platforms or update the data on the document manually and archive it.  

Follow these steps to make the necessary adjustments to these documents' settings:

  1. Click on the document that you want to adjust in the 'Docs' column.
  2. Click on the 'Edit Data' bar on the right hand side of the screen. A new screen will swing out.
  3. Make changes to the extracted data.
  4. Click 'Publish'.

These documents will no longer appear under the 'Failed' tab. They should now appear under the 'Archived' tab.
