Update your Hubdoc organisation’s settings

  • Update your organisation details in Hubdoc, including the base currency, date format and the unique email address you use to email documents into Hubdoc.

Set the base currency and date format for your organisation

Hubdoc supports a wide range of currencies. Select the same base currency that you use in your cloud accounting platform. This will be the default currency that's used if a currency isn't recognised during data extraction or when you publish a document to your cloud accounting platform.

  1. On the dashboard, click the settings icon in the top right hand corner.
  2. Select the Organization tab.
  3. (Optional) Review and update your organisation.
  4. Update the Base Currency and Date Format fields.
    Hubdoc automatically applies the date format according to the base currency you select. You can manually adjust the date format to one you prefer.
  5. Click Save Changes.

The date format determines how the date displays in the data toolbar for a document (click on Edit Document to open the data toolbar). If the date format set in the Organization tab results in a document with a future date, Hubdoc uses another date format so it’s not set in the future.

Change your email address for Hubdoc documents

Before you start emailing documents into Hubdoc, change the intake email address assigned to your organisation to one that's specific and unique to your business. To make sure that emailed documents are uploaded to the correct Hubdoc organisation, four unique characters are automatically added when you change the email address.

Once your new email address is saved, the previous one won't work.

To change your unique Hubdoc intake email address:

  1. On the dashboard, click the settings icon in the top right hand corner.
  2. Select the Organization tab.
  3. Under Uploading files via email, click Edit email.
  4. Type the part of your email address that goes before the @ symbol, then click Save. Your new full email address now shows.
  5. (Optional) Under Copy to Clipboard, select the checkbox to create a PDF document from both the attachment and the body of the email. This might be helpful where the email contains additional information that relates to the attachment.
  6. Click Save changes to confirm.

You can now share this email address with suppliers so they can email documents directly to your Hubdoc organisation. Make sure you copy the entire email address, including the additional characters before sharing with your suppliers.
